The challenge

A physician leaving facility-based work to launch his own private practice came to MedHeave with nothing in place, no EHR, no billing system, no front desk workflow, and no operational infrastructure. 

He had contracts with rehab facilities but needed to build an entirely new outpatient practice from the ground up while simultaneously managing and growing his facility-side work. 

His initial front desk hire was remote and unfamiliar with the medical industry, creating coordination breakdowns across patients, providers, and billing. With no established systems, every aspect of the practice, from provider onboarding to patient communication to collections, needed to be built and operationalized simultaneously.

What we did

Built the entire practice infrastructure from scratch

Sourced, purchased, and configured an EHR system for the practice. Set up Zoom Workplace with phone extensions for all providers and departments. Established email, fax, and communication workflows across the entire office. Trained all providers and staff on every system from day one.

Deployed a virtual assistant to replace an underperforming front desk

Resolved chronic front desk coordination failures by transitioning to a trained virtual assistant embedded alongside the billing team. The VA handled patient communication, scheduling, and internal coordination, eliminating the gaps caused by a remote, inexperienced hire.

Established dual billing workflows for the office and the facility

Built and managed separate billing workflows for outpatient office visits and inpatient facility services. Implemented daily eligibility and benefits verification for next-day appointments, set up Stripe for patient responsibility collection integrated with the EHR, and enrolled providers for ePrescribing.

Scaled operations as the practice grew to 17 providers

As the provider contracted more facilities and hired more staff, MedHeave handled every new provider onboarding end-to-end, including email, phone, EHR access, billing workflow training, and credentialing support. The provider’s model became: hire and sign the contract, MedHeave handles the rest.
