This privacy policy describes how Medheave Healthcare Services LLC (“MedHeave,” “we,” “us,” or “our”) collects, uses, and protects information obtained through medheave.com (the “Site”). It applies exclusively to data collected through the Site and does not govern protected health information (PHI) processed as part of MedHeave’s medical billing and revenue cycle management services. PHI handled in connection with client engagements is governed by applicable Business Associate Agreements (BAAs) and MedHeave’s HIPAA compliance program.
By using the Site, you acknowledge the practices described in this policy.
1. Information we collect
We collect information in two ways: directly from individuals who submit it, and automatically through standard web technologies.
Information submitted directly may include:
- Full name
- Email address
- Phone number
- Practice or organization name and details
- Any other information provided through contact forms or newsletter signups
Information collected automatically may include:
- IP address
- Browser type and version
- Pages visited and time spent on the Site
- Referring URLs
- Cookie identifiers and session data
2. How we collect information
Information is collected through the following mechanisms:
- Contact forms: when a visitor submits an inquiry or requests information about MedHeave’s services
- Newsletter signups: when a visitor opts into email communications
- Cookies and similar tracking technologies: automatically when a visitor accesses the Site (see Section 5 for details)
3. How we use information
Information collected through the Site is used for the following purposes:
- Sales outreach: to respond to inquiries and follow up with prospective clients

These providers are engaged solely to perform functions on MedHeave’s behalf and are contractually prohibited from using information for their own purposes. We require that all third-party vendors maintain appropriate data security standards consistent with applicable law.
MedHeave may also disclose information where required by law, court order, or government authority, or where disclosure is necessary to protect the rights, property, or safety of MedHeave, its clients, or others.
5. Cookies and tracking technologies
The Site uses cookies, which are small text files placed on a visitor’s device to support Site functionality and analytics.
We currently use:
- Google Analytics: to collect aggregated, anonymized data about how visitors interact with the Site, including pages visited, session duration, and traffic sources. Google Analytics data is processed in accordance with Google’s privacy terms. Visitors may opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on (available at tools.google.com/dlpage/gaoptout).
We may also use functional cookies necessary for the Site to operate as intended. MedHeave does not currently use advertising or retargeting cookies; if this changes, this policy will be updated accordingly.
Most browsers allow users to control or disable cookies through browser settings. Note that disabling cookies may affect certain Site functionality.
6. Data retention
MedHeave retains personal information for as long as necessary to fulfill the purposes described in this policy, unless a longer retention period is required or permitted by law. When information is no longer needed, it is securely deleted or anonymized.
7. Data security
MedHeave implements reasonable technical and organizational measures to protect information against unauthorized access, disclosure, alteration, or destruction. No method of transmission over the internet is completely secure; while we take data protection seriously, we cannot guarantee absolute security.
8. HIPAA and PHI
MedHeave is a covered business associate under the Health Insurance Portability and Accountability Act (HIPAA). This privacy policy governs website visitor data only. Protected health information processed in connection with MedHeave’s medical billing and revenue cycle management services is handled under separate, HIPAA-compliant agreements and is not subject to this policy.

9. Your rights
Depending on applicable law, individuals may have the right to:
- Request access to personal information MedHeave holds about them
- Request correction of inaccurate or incomplete information
- Request deletion of personal information, subject to legal retention obligations
- Opt out of email marketing communications at any time by using the unsubscribe link in any marketing email or by contacting us directly
To exercise any of these rights, submit a written request to info@medheave.com. MedHeave will respond within a reasonable timeframe consistent with applicable law.
10. US state privacy rights
Several US states have enacted consumer privacy laws that may apply to residents who visit the Site. This section supplements Section 9 (Your rights) and addresses those state-specific frameworks.
Depending on the state in which you reside, you may have the right to:
- Confirm whether MedHeave processes personal information about you and request access to it
- Correct inaccurate personal information
- Request deletion of personal information MedHeave holds about you
- Obtain a portable copy of your personal information in a commonly used format
- Opt out of the processing of personal information for purposes of targeted advertising or profiling that produces legal or similarly significant effects
- Appeal a decision MedHeave makes in response to a privacy rights request
These rights vary by state and are subject to exceptions under applicable law. MedHeave does not sell personal information and does not use personal information collected through this Site for targeted advertising.
To submit a request or exercise any of the above rights, contact info@medheave.com. MedHeave will respond within the timeframe required by the law applicable to your state of residence, and will not discriminate against you for exercising any privacy right.
Note: Some state privacy laws provide exemptions for data regulated under HIPAA or for entities subject to HIPAA. To the extent such exemptions apply to MedHeave’s operations, they are incorporated by reference into this policy. 11. California residents
If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information has been collected, the right to request deletion, and the right to opt out of the sale of personal information. 12. Links to third-party websites
The Site may contain links to external websites. MedHeave is not responsible for the privacy practices or content of third-party sites. We encourage visitors to review the privacy policies of any sites they visit.
13. Children
The Site is not directed to individuals under the age of 18. MedHeave does not knowingly collect personal information from minors. If we become aware that we have inadvertently collected such information, it will be promptly deleted.
14. Changes to this policy
MedHeave reserves the right to update this privacy policy at any time. When changes are made, the “Last updated” date at the top of this page will be revised. Continued use of the Site following any update constitutes acceptance of the revised policy. We encourage visitors to review this policy periodically.
